Nurture in Nature Therapy is hiring a part-time administrative assistant to assist with client communication, marketing, and more!
What does the job require?
Able to manage time and work tasks effectively
Professional language and correct grammar usage verbally and in writing
Computer skills:
can make documents & spreadsheets
can use Canva
we’ll train you on the EMR and payment systems
Attention to detail to ensure accuracy and efficiency
What are the hours and pay?
Hours:
Weekly virtual staff meetings (Tuesdays, 6:30–7:00)
Remote working hours (1–2 hours each weekday, flexible timing)
In-person marketing events (occasional; typically a few hours on a weekend)
$20–30 per hour
Starts ASAP
What would I be doing?
There are two big jobs tied into this position.
As the Intake Coordinator, you’ll be designing marketing materials & representing our company at marketing events. You’ll also be completing intakes by answering questions over email and the phone and sending paperwork (and reminders) to ensure it gets completed, plus faxing referral requests to doctors, adding interested people to our newsletter list, and maintaining a waitlist.
As the Office Manager, you’ll be checking email each day to answer what you can and label & sort the rest. You’ll be creating and sending invoices, superbills, and itemized receipts. You’ll be charging clients’ credit cards for services they’ve registered for. At the end of each season you’ll be updating the EMR (Electronic Medical Record) calendar & email contact groups (and, as needed, in between).

As we are required to follow HIPAA laws, accuracy is a must. Since the majority of your work will be done independently, you must be able to manage your time and have a system for keeping track of what needs to be done. As you are often the first contact that people have with Nurture in Nature, you must be kind and welcoming and able to make a genuine connection and listen and understand. As you will be working with therapists, assistants, and a bookkeeper/accountant, you must be able to identify problems and solve them collaboratively with others.
What might make an applicant stand out?
Excellent question!
Previous experience in a healthcare or therapy setting. Experience with neurodivergent individuals and ability to connect easily with kids. Familiarity with the Rochester area and local marketing opportunities. Interest in assisting in-person with groups when a group assistant is out.
